Instant Inquiry Response System

A new lead lands in your inbox at 11pm. Instead of sitting there until Monday morning, AI drafts a warm, specific reply in seconds — in your voice, with your pricing and policies already loaded. Your team approves it. Or you let it auto-send. Either way, the lead hears back before they've closed three other tabs.

Speed Wins More Than Polish

Studies of inquiry response times consistently show the same thing: leads contacted within five minutes are five to ten times more likely to convert than leads contacted within an hour. By the time most businesses reply two days later, the lead has booked someone else.

The fix is not hiring someone to sit by the inbox. The fix is a system that drafts a real, specific, on-brand reply in under 60 seconds, every time, around the clock. Your team still has eyes on every reply if you want them to. The difference is that they're reviewing instead of writing from scratch.

Average client result: response time drops from 47 hours to under 5 minutes. Conversion rates measurably improve within the first month.

What I Build

Inbox or CRM Connection

I wire the system into wherever your leads currently land — Gmail, Outlook, HoneyBook, Dubsado, your contact form, your CRM.

Voice-Trained Drafting

Every reply comes out using your tone, your phrasing, your sign-off. I tune it against examples of replies you've sent yourself.

Pricing & Policy Awareness

The AI knows your packages, availability, what you do and don't offer, and how to handle edge cases without making things up.

Approval or Auto-Send

Start in draft mode where humans review every reply. Switch to auto-send for high-confidence patterns once you trust the output.

Escalation Rules

Anything ambiguous, sensitive, or out of scope routes straight to a human instead of getting an AI reply.

Reporting

You see how many inquiries came in, how fast they were answered, what the AI drafted, and what humans changed.

Common Questions

Does the AI actually send the email, or does someone review it?

Both options work. Most clients start with draft mode — the AI writes a complete reply and drops it into a draft for a human to skim and send. Once you're confident in the output, you can switch to auto-send for inquiries that match high-confidence patterns.

Will it sound like a robot?

Not if it's set up right. The whole system runs on your brand voice document, your FAQ bank, and your sales process. Most clients can't tell which replies were AI-drafted and which their team wrote from scratch.

What does it integrate with?

Anything with email or a webhook: Gmail, Outlook, HoneyBook, Dubsado, HubSpot, Pipedrive, plain web forms. I configure it during setup based on what you already use.

What does it cost?

It's typically built as part of the AI Accelerator engagement ($10,000), which includes the AI Foundation Package plus 2-3 deployed systems. If you only need this one system, we can scope it as a fixed-price micro project.

See It Work Before You Commit

The live demo uses the same Claude API and the same kind of context layer I build into client systems. Type in a sample inquiry and watch what comes out. Then we'll talk about what your version would look like.
